This Privacy Policy explains how TasksBook (“TasksBook”, “we”, “us”) collects, uses and protects information when you use our website at tasksbook.com and our web app at app.tasksbook.com (together, the “Service”). TasksBook is field service management software for home service businesses and their teams.
1. Who this policy covers
- Account holders: business owners, office staff and workers who sign in to TasksBook.
- Our customers’ clients: people whose details a business stores in TasksBook, or who use the client portal. For this data the business is the data controller and TasksBook processes it on the business’s behalf.
- Website visitors to tasksbook.com.
2. Information we collect
- Account information: name, email address, phone number, company name, role and password (passwords are handled by Google Firebase Authentication and never stored by us in plain text). If you sign in with Google we receive your name, email and profile photo.
- Business data you enter: clients, leads, requests, quotes, jobs, schedules, invoices, payments, notes, messages, photos, files and video links.
- Workforce data: shifts, time clock entries, attendance, leave, expenses, equipment, pay rates and payroll records entered by the business.
- Location data: when a worker clocks in or is on the clock, the app may record GPS location to show job check-ins and live location to their employer. Location is only collected while the worker is clocked in and with device permission.
- Connected account data: if a business connects Google Business Profile, Facebook, Instagram or Gmail, we receive the data described in section 5.
- Payment information: card payments are processed by Stripe. We do not store full card numbers.
- Usage and device data: log data such as IP address, browser type, pages visited and error reports, used to run and secure the Service.
- Communications: messages you send us, such as support tickets.
3. How we use information
- To provide, maintain and improve the Service and its features.
- To create and secure accounts, authenticate users and prevent fraud or abuse.
- To send service messages such as invitations, notifications, quotes, invoices and reminders that a business chooses to send.
- To process subscription billing and payments.
- To provide customer support.
- To comply with legal obligations.
We do not sell personal information, and we do not use our customers’ business data for advertising.
4. How we share information
We share information only with service providers that help us run the Service, under contracts that limit their use of the data:
- Google Cloud / Firebase: authentication, database and file storage.
- Our web hosting provider: hosting of the app, uploaded files and server tasks.
- Stripe: payment processing.
- SMS providers: delivering text messages a business sends.
- Google, Meta (Facebook and Instagram): only when a business connects those accounts, to carry out the actions the business requests.
We may also disclose information if required by law, to protect our rights or users’ safety, or as part of a merger or acquisition (with notice to you).
5. Connected accounts (Google and Meta)
Google Business Profile
When a business connects its Google Business Profile, TasksBook requests the business.manage permission. We use it only to:
- list the business’s accounts and locations so the owner can choose which to connect;
- show performance metrics (views, calls, website clicks, direction requests, search keywords);
- import Google reviews and post replies that the business writes;
- publish posts that the business creates and schedules.
Gmail
If a user connects Gmail, TasksBook requests only the gmail.send permission to send emails (such as quotes and invoices) from the user’s own address when they click send. We do not read, store or scan your mailbox.
Google API Services User Data Policy
TasksBook’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it, and we do not allow humans to read it except with your consent, for security purposes, to comply with law, or when the data is aggregated and anonymized.
Facebook and Instagram
When a business connects a Facebook Page or Instagram business account, we receive the Page and account details and permissions needed to publish posts the business schedules. We do not access personal profiles, friends lists or private messages.
Tokens and disconnecting
Access tokens are stored only on our server, outside the public website, and are never shown in the app or sent to your browser. You can disconnect any account at any time in Marketing → Connections or Settings, which deletes the stored token. You can also remove access from your Google account permissions or Facebook settings.
6. Data retention and deletion
We keep information for as long as the account is active or as needed to provide the Service. Business owners can delete records in the app at any time. When a company account is closed, we delete its data within 90 days, except where we must keep it for legal, tax or accounting reasons.
To request deletion of your data (including data received from Facebook, Instagram or Google), disconnect the account in TasksBook and email us at minhazhosenbd@gmail.com with the subject “Data deletion request” and the email address of your account. We will confirm and complete the deletion within 30 days. If your data was entered by a business that uses TasksBook (for example, you are one of their clients), please contact that business; we will help them act on your request.
7. Security
We use encryption in transit (HTTPS), access controls by role, and security rules that separate each company’s data. No method of transmission or storage is 100% secure, but we work to protect your information and will notify affected users of a breach as required by law.
8. Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal information, and to opt out of certain processing. California residents have rights under the CCPA/CPRA, including the right to know and delete, and the right not to be discriminated against for using them. We do not sell or share personal information for cross-context behavioral advertising. To make a request, email us at the address below.
9. Cookies
The app uses cookies and local storage needed for sign-in and to remember your preferences. The website may use basic analytics cookies to understand visits. You can control cookies in your browser settings.
10. Children
The Service is for businesses and is not directed at children under 13. We do not knowingly collect information from children.
11. Changes to this policy
We may update this policy. If we make material changes we will notify account owners by email or in the app. The date at the top shows when it was last updated.
